Managed IT vs Break-Fix Support: What's Actually Cheaper?

Click IT Team 2026-07-18 5 min read

The real cost of break-fix

Break-fix - paying for IT only when something breaks - has an obvious appeal: you only pay when you need help. But the true cost is hidden in downtime. When a server fails mid-week, you're paying the technician's hourly rate plus every hour your team can't work. A single incident can cost more than a year of proactive management.

There's a second cost: reactive providers fix symptoms. The same fault recurs, the same bill repeats, and nobody ever addresses the root cause because nobody's paid to.

What managed IT actually buys you

A managed agreement typically covers monitoring (problems caught before your team sees them), a responsive helpdesk, patching and security basics, backup verification, and a partner who knows your environment well enough to prevent problems. The predictable monthly cost is the point - you can budget for IT like a utility, not a lottery.

When break-fix genuinely fits

Honesty time: not every business needs full managed IT. A very small operation with simple needs and tolerant downtime may be better served by good-quality ad-hoc support, at least until technology becomes critical to revenue. What we'd never recommend is break-fix without backups, monitoring or a plan.

The question to ask a provider

Whatever model you choose, ask: what happens when we're down at 9 am on a Monday? The answer - a named person, a response time, and a documented plan - tells you more than any brochure.

Quick answers

Usually a predictable per-user monthly fee covering support, monitoring, security and management. Scope varies, so get the inclusions in writing.
