Private AI vs Public AI: Where Should Your Business Data Live?

The question nobody asks: where does this go?

When a staff member pastes a customer list into a free AI website, that data leaves your control. It may be stored, used for training, or processed in a jurisdiction you've never thought about. For most businesses, that alone is a reason to pause - regardless of how useful the tool seems.

The Privacy Act 2020 holds you accountable for personal information you disclose, including to overseas providers. If you can't answer 'where is this data, who can see it, and what happens to it?', you haven't finished the privacy assessment.

What 'private AI' actually means

Private AI comes in two practical forms. Enterprise tools like Microsoft Copilot, configured properly, keep your data inside your tenant with contractual protections against training on it. And private/RAG systems we build use your own documents with access controls, hosted where your data stays yours - often in-region.

The key technical pattern is RAG - retrieval-augmented generation. Instead of the model 'remembering' your documents, it retrieves only what it needs from your controlled knowledge base at answer time, with sources shown. Your data stays in your systems; the model never trains on it.

A simple decision rule

If the information is public, a public tool is fine. If it's business-confidential or personal, it belongs in a private or properly configured enterprise system. If you're not sure which category it falls into, treat it as confidential until someone with authority says otherwise.

Write it down

Whatever you decide, document it: what tools are approved, what data can go where, and what to do when unsure. Staff don't use unsafe AI because they're careless - they use it because nobody told them the safe options exist.
